British American Tobacco – Maintenance Strategy

British American Tobacco plc (BAT) is a British multinational tobacco company headquartered in London with over 60,000 staff worldwide. BAT's PeopleSoft solution was implemented by Cedar in 2003, and is now hosted, maintained and supported by Cedar as part of a long-standing Managed Services agreement. BAT primarily use PeopleSoft as a payroll system due to the flexibility offered by the Global Payroll module. They use basic HR functionality, as required to support payroll.

The PeopleSoft Maintenance model was rewritten with the arrival of the version 9.2 applications, giving users greater control over the selection and timing of installation of new application fixes and features. At the same time, the PeopleTools Support model changed, requiring more regular PeopleTools upgrade to ensure continuity of support. As one of the first UK implementations to go live on 9.2, BAT engaged Cedar to advise how best to tackle the new options available.

  • Ensure legislative compliance for payroll
  • Ensure bug fixes were proactively installed in a timely manner
  • Simplify reapplication of customisations
  • Remain on a supported PeopleTools platform
  • Ensure known security vulnerabilities are patched

  • Agreed strategy of applying all available bug fixes for payroll module towards end of calendar year, followed by legislative updates as soon as available from Oracle (typically end of January to early February
  • Bi-annual PeopleTools upgrade to ensure remain within support
  • Maintenance of customisation catalogue to ensure all customisations are clearly documented and known
  • Event Mapping to be used in the future to minimise changes need to Oracle delivered PeopleCode and objects
  • Support Manager monitors security incidents from Oracle and takes proactive action after discussion with BAT

Cedar completed an upgrade to PeopleTools 8.54, 12 months after the initial go-live of PeopleSoft HCM 9.2 during the summer of 2014. This was followed by an update to PeopleTools 8.55 in January 2018 with an additional upgrade to 8.56 tentatively planned for later this year.

The strategy for application fixes has been adhered to, minimising instances where an issue is encountered and a fix already exists.
